Description of Forum Coordinator role
GOVIS runs a number of special interest
forums.
Each forum requires a Forum Coordinator, who is responsible for the
following:
- be the primary contact person for all
members of the forum "community"
- organise the Lunchtime Forum meetings
(every two to three months)
- coordinate a program of speakers and
topics, avoiding clashes with other forums and networks
- organise invitations/RSVPs and anything
speakers need on the day
- book the venue and catering
- find or act as a "chairperson" for the
meeting
- supply notes/speakers' presentations to
GOVIS Webmaster (if
the speakers are willing!)
- provide activity reports to the
Forum Liaison person
- moderate the forum's email list membership
(or arrange for someone else to be the forum listserv moderator.
This means they
- assess forum eligibility based on
GOVIS membership and
forum criteria in consultation with the
GOVIS Committee if necessary
- use Yahoo Groups automated facilities
for adding and removing members
- help to keep traffic on the list
interesting and topical!
Tips for Forum Coordinators
Forum Coordinators may find the following
useful:
- forming a small group to arrange the
program and logistics of the lunchtime meetings
- the current forum
liaison person maintains a list of venues and contact
information
- joint meetings with other forums and
organisations have worked well in the past
- "panels" on a topic rather than "a speaker"
have been successful as well.
- the
Standing Agreements, promulgated by the Committee from time to
time detail your budgetary latitude when organising events. You
should consult the forum
liaison person or the Treasurer
if you think you may exceed the guidelines
As a forum coordinator, you're not alone.
Working with the other coordinators, committee members and the forum
liaison person, you'll find that you're part of an enthusiastic and
dedicated team.
GOVIS forums are about sharing knowledge,
experience and perspectives. We need your time, interest in the
forum theme, and commitment to advancing this important aspect of
GOVIS' work. In return we offer guidance, support, and assistance
and an opportunity to make a difference in our community.
Term of Service
Forum Coordinators need to commit to the role
for a minimum of 1 year.
